Submit a request for event support
The Franco Institute offers academic conference services and event consultation to faculty in the College of Arts & Letters, designed to streamline the planning process and allow you to concentrate on the academic content of your program.
Early planning is highly recommended. The Franco Institute’s event and academic conference planning team can provide a variety of services, depending on the event type, location, and budget. Levels of logistical support
Level 1
- 1-hour in-person or Zoom consultation to discuss conference details and draft budget
- Suggest dates/time (if not already known) to maximize guest experience
- Provide link to international location space applications
- Provide contact information for University Operations, Events and Safety (UOES) for on-campus events
Level 2
- Create custom timeline with deadlines for planning tasks
- Initial inquiry into availability of spaces/locations
- Provide location-specific suggestions (dining, hotels, tours, etc.)
Level 3
- Book and pay for lodging including special requests (e.g. room type, extended stays)
- Manage guest travel (e.g. Liaise with Anthony Travel for flights, ground transportation, etc.)
- Manage catering needs (e.g. collect dietary restrictions, select menus, etc.)
- Arrange off and on-site dinners
- Communicate event/faculty specific requests to host location
- Meet directly with co-sponsors and external partners in planning process
Note: this can only happen for international events if the faculty member agrees to include staff travel and hotel in the event budget.
Note: a 5% conference administration fee will be added to overall conference budgets to help cover the services of the Franco Institute's professional conference and events staff provides.
To receive logistical support at levels 1 or 2, the event must be:

an academic conference (defined as a formal gathering of 10 or more scholars over at least two days) sponsored or co-sponsored by an Arts & Letters unit
OR
- an event funded in part by a Co-Sponsorship Grant.
To receive logistical support at level 3, the event must be:

an event hosted outside the United States at one of Notre Dame’s global locations, with a budget of at least $15,000
OR
-
an event funded by a Large Henkels Grant
Event Consultation:
Conference and event consultations are available for any College of Arts & Letters faculty and staff. For on-campus events, schedule a consultation with event specialist Kayla Jewell. For international or high-profile events, schedule a consultation with assistant director of scholarly conferences and events Alicia Sachau.
